• What are the working hours and availability of Refined Virtual Solutions?

Refined Virtual Solutions operates on a contractual basis, tailored to suit the needs of our multiple clients. This approach allows us to schedule dedicated blocks of time for each client's projects, aligning with their specific due dates and turnaround requirements to seamlessly integrate with your workflow. While we don't adhere to strict office hours, we primarily work on weekdays during Eastern Time (ET), but we’re flexible to accommodate your needs whenever possible. For transcript proofreading services, pricing is customized based on the nature of each project, and timing will be discussed individually.

• Do I need to provide tools or software for Refined Virtual Solutions?

Think of RVS as detectives equipped with the latest investigative tools to crack any case. Our toolkit includes resources specifically designed to streamline your operations. If your unique case calls for specialized software, we’ll do the detective work to ensure seamless integration into your workflow and alignment with your needs. Rest assured, we’re highly adaptable and ready to learn and use your preferred tools when required. Whether it’s organizing complex tasks or managing secure communications, we come fully prepared to handle the tools that help solve your business challenges.

• How do billing and payment work when hiring Refined Virtual Solutions?

RVS offers flexible billing methods tailored to your needs. Our billing options range from retainers for a set number of hours to project-based pricing. Invoices are conveniently sent through our secure electronic platform, Wave app, allowing for direct payments or bank transfers. A 10% late fee applies after the due date, and 1.5% interest is added monthly until the balance is fully paid.  No new jobs will be accepted if an invoice is past 30 days overdue.

Regarding Legal Transcript Proofreading, we charge per-page rates, with invoices sent on the 1st and the 15th of the month (payment due within 14 days of receipt of the invoice).  For new clients or one-off projects, invoices are due upon project completion. Subsequent work will follow regular invoicing as long as significant time has not passed.

When it comes to Legal Operations Support retainers, we request upfront payments upon receipt of the invoice at the start of each new month. The first month will be prorated based on the date of the contract and subsequent invoices will be sent on the 1st of each month.

For Strategic Systems Partnerships, we require half of the total amount upfront to schedule the block of time. The remaining balance is due midway through the project. New contracts will begin once we receive the signed agreement and the retainer payment.

• What if there's a need to modify the originally contracted scope of work or tasks?

At Refined Virtual Solutions, we understand that needs may evolve. Communication is crucial in such cases. By promptly discussing any necessary changes with us, we can often accommodate adjustments to tasks, schedules, or priorities, particularly at the end of an initial contract period. In such instances, we would create an addendum to our initial contract, detailing the revised scope of work.
